Job in a renowned institution?

With over 200 years of history, the Gesellschaft der Musikfreunde in Wien is one of the world's leading concert institutions.

Your area of responsibility:

Strategic and scheduling planning for the completion of the artistic director’s projects, tasks, and initiatives, including research and preparatory work, as well as the coordination of all individuals involved
Communication with all of the artistic director’s internal and external contacts, as well as with ambassadors from around the world accredited in Vienna
Independently handling correspondence (in German and English), managing schedules and travel arrangements, and assisting the Artistic Director’s guests
Scheduling and distributing documents for meetings of the Musikverein’s governing bodies, as well as coordinating all joint appointments for the Artistic Director and the Business Director
Organization, planning, and coordination of internal and external events (e.g., protocol events, receptions, presentations, invitations, employee events, etc.)
General secretarial duties (e.g., credit card billing; mail; telephone; administrative and organizational tasks)

Your requirements profile:

A completed degree or vocational training
Relevant professional experience in the cultural sector; ideally in classical concert organisation; and/or a keen interest in the Musikverein’s content and programmes.
Ideally, professional experience as an executive assistant in a senior management role
An independent, structured and forward-thinking approach to work. You maintain a clear overview at all times, even when juggling multiple tasks simultaneously, and know how to set priorities
Empathy, a friendly and confident manner. You enjoy interacting with people and have a talent for organisation
Excellent communication skills in German and English; linguistic and written fluency; very good knowledge of MS Office
