Data processing according to Art. 14 GDPR
In addition, we process data of persons who may be part of a contractual relationship, which we have permissibly received in the context of information provided by third parties (event organizers provide us with the names of participants, companies provide us with data of their employees).

Data Subjects
If necessary, we process the following data from customers, members and guests at events: Title, name of the customer, name of the contact person for corporate customers, date of birth, e-mail address, address, and payment data.
We process the following data from suppliers and third-party organizers: Company, title and names of contact persons, professional address data and contact details, bank details, and contract data.
We process the names and image data of artists.

Personal data will only be passed on to third parties if this is necessary for the purpose of processing and fulfilling the contract or if it is required by law.

Retention/Deletion of Data
The data will be deleted by us as soon as storage is no longer required/permitted or statutory retention obligations have expired. If the basis for processing is consent, we will restrict the processing or delete the data if consent is withdrawn – unless there are legal provisions to the contrary.

Contacting us by e-mail for information purposes
When you contact us by e-mail, the data you provide will be stored by us in order to answer your questions. We delete the data arising in this context after processing is no longer necessary, or restrict processing if there are statutory retention obligations.

Publication of Authors’ Names
We are legally obliged to disclose the names of the authors of image data (photos or videos) each time image data is published. We automatically delete this personal data as soon as we stop using the image data or following a request for deletion from a data subject.

Legal Basis
The legal basis for data processing is

  • the initiation and fulfillment of the contract pursuant to Art. 6 para. 1 lit. b GDPR (such as ticket sales).

  • You may not be able to sustainably assert or enforce your rights of access against the respective service provider.

The ticket is invalidated after the first entry by scanning the code. Holders of additional printouts or copies will be denied access, unless the ticket has been invalidated without authorization due to circumstances attributable to Gesellschaft der Musikfreunde or, in the case of a third-party event, to the organizer, or the ticket was erroneously sent several times with the same identification by Gesellschaft der Musikfreunde, the organizer or by third parties authorized to send tickets.

Vienna, 1 April 2024
Approved by MA 36 according to § 27 Vienna Events Act 2020
These house rules apply to all events and room rentals at the venue Musikvereinsplatz 1, 1010 Vienna, Wiener Musikverein (hereinafter “venue” or MV), and regulate the rights and obligations of the participating persons (visitors, organizers and their employees or persons and companies commissioned by them). The house rules are published on the Internet (homepage of the organizer) and are clearly displayed at all entrances/entrances. Persons participating in the event must comply with the provisions of the approved and announced house rules, otherwise they may not remain in the event venue.

These house rules apply to the event venue for the event duration, including set-up and dismantling times.

The abovementioned venue includes all buildings, rooms, facilities, and open spaces used during the event.

In accordance with Section 27 (5) of the Vienna Events Act 2020, persons who do not comply with the provisions of these approved and published house or site rules are not permitted to remain in the event venue. Any violation of these house or site rules may be punished by expulsion from the venue. In accordance with § 27 para. 6 of the Vienna Events Act 2020, it is pointed out that failure to comply with the expulsion order by the supervisory bodies of the Vienna Provincial Police Directorate constitutes an administrative offense. Any conduct relevant under administrative or criminal law will be reported to the competent authorities without exception.

In addition, our General Terms and Conditions apply, available at www.musikverein.at.

Attendance at an event is only permitted with a valid admission ticket. In special situations, access may be subject to an ID check by the event organizer’s and/or lessor’s supervisors/security service/security staff (hereinafter also referred to as “authorized persons”). The aforementioned persons are authorized to search items of clothing, bags and containers etc. carried by the participating persons for prohibited or dangerous items before entering the event venue.

The security service/the supervisors/the stewards/the organizer (hereinafter: authorized persons) are entitled to deny access to persons who could disrupt the orderly course of the event (this also includes, for example, disturbing other concertgoers or who could pose a safety risk (e.g. due to the consumption of alcohol or drugs, other impairments, conspicuous behavior or the carrying of prohibited or dangerous objects), to refuse admission to the venue or to prevent them from doing so and to expel them from the building despite a valid admission ticket, excluding any claims for reimbursement. This also applies to persons who refuse to allow their clothing, bags or containers to be searched or their ID to be checked. The aforementioned persons are also authorized to carry out such checks on persons participating in the event who are already present at the event venue. We reserve the right to assert our domiciliary rights.

Visitors arriving late may not enter the concert hall independently after the start of the performance. Entry during a movement break is not possible. Admission may only be granted during a prolonged interruption or during the interval between sets – in any case only if a supervisor is present. This also applies to seats in the parterre and balcony boxes as well as to visitors of standing places.

Depending on the type and program of the events, the Gesellschaft der Musikfreunde in Wien reserves the right to determine the age of admission for visitors to selected events. In all other respects, the Vienna Youth Protection Act applies in full.

Only a maximum number of tickets corresponding to the maximum number of participants approved by the authorities may be issued. If the number of event participants reaches this maximum number, the admission of further persons must be prevented in an appropriate manner.

For wheelchair users and their companions, special seats are provided. Tickets for these seats must be requested as such when purchased up to one working day before the event. The entrance for wheelchair users is located at the main entrance. A ramp on the right side allows barrier-free access.

Animals may not be taken into the hall. This does not apply to guide dogs and partner dogs for accompanying disabled persons, provided they are harnessed and on a lead and wear a muzzle.

Visitors may only enter the rooms and areas intended for spectators. In particular, during an event, spectators and other external persons are prohibited from entering rooms and areas not intended for them in a recognizable manner (e.g. stage, magazines, changing rooms). The stage area may only be entered before, during and after the event with the express permission of the organizer.

It is prohibited to bring any kind of objects and substances that could pose a risk to the protection interests listed in § 18 Para. 1 of the Vienna Events Act 2020 (in particular a risk to human life and health, a risk to operational safety).

In particular, the following are prohibited:
Glass containers, bottles, cans, plastic canisters, hard packaging or other objects made of glass or any other fragile, splintering or particularly hard material;
Laser pointers;
Large or bulky objects such as large bags, rucksacks, suitcases;
Racist, xenophobic, national socialist, sexist or political propaganda material.
In case of doubt, the classification of objects as prohibited or permitted within the meaning of these house rules is the responsibility of the security service/the supervisory staff/the security personnel/the organizer and the bodies of the City of Vienna and the Vienna Provincial Police Directorate.

At the end of the event, all visitors must leave the venue as quickly as possible.
Coats, jackets, umbrellas, canes, walking aids, prams, bags (with the exception of normal handbags), rucksacks and other items not necessary for attending the event, especially if they are or may be bulky, dangerous or increase the risk of danger, are to be handed in at the cloakrooms. Walking sticks or other walking aids such as rollators etc. may be carried by infirm persons if they are indispensable. Hats are to be removed in the hall. Unattended items will be removed and can be collected from the cloakroom after the concert by paying the cloakroom fee. If they are not collected, they will be handed over to the lost property office.

Only clothing and other items that are typically brought along for a concert visit may be deposited at the cloakroom. In the event of a dispute, the supervisors will make the final decision. Animals may not be handed in under any circumstances.

Food and drinks may not be brought into the event venue, but may only be purchased at buffets in the event venue. These may only be consumed in the rooms provided for this purpose and, in particular, under no circumstances in the event halls.

Events at which the taking of glasses, drinks, and food is expressly permitted or provided for are excluded from this ban.
Every visitor to the event must behave in such a way that the traffic safety of the event venue is not impaired or that other persons are not endangered, harmed, hindered or inconvenienced. Furthermore, he/she must behave in such a way that there is no disruption to the orderly course of the event and no damage or impairment of structures, facilities, equipment or any other objects.

Smoking and lighting cigars, cigarettes, including e-cigarettes, vaporizing tobacco products and the like are prohibited throughout the building. Waste, packaging materials and empty containers are to be disposed of exclusively in the waste containers provided in the event venue.

Cell phones and other mobile electronic devices (tablets, laptops, photo and video cameras, gameboys, etc.) are prohibited during the performance (i.e. in particular during the concert, during breaks in the set, etc.).

Unauthorised persons may not touch or operate technical equipment such as lighting equipment.

Escape routes and emergency exits are only to be used in the event of danger, if necessary, by the instructions of authorised persons.
All traffic routes and exits to the street must be kept clear of performances and storage during an event.

Objects that are or could be dangerous may not be brought into or deposited in the event venue or the area around the event venue.

Visitors and participants must inform an authorised person of any personal perceptions of danger.

The organizer (tenant) is not obliged to take security police measures. This applies in particular if such measures are not taken by security police authorities – based on their own assessment of the danger situation and despite notification of possible dangers by the organizer or despite a request by the organizer.
The information, instruction and prohibition signs in the building and other announcements must be followed precisely and immediately. Likewise, especially in the event of fire or danger, instructions from authorized persons as well as from supervisory bodies of the municipal authorities, police (and other authorities), fire department and rescue services must be complied with immediately. Authorized persons are identified as such (e.g. logo of the music association on the service clothing, or service badges or armbands). They are entitled to check that visitors comply with the house rules, to demand identification and to issue the instructions necessary to enforce them. They are also entitled to exercise domiciliary rights and/or call on the support of the official supervisory bodies in the event of non-compliance with the house rules and non-compliance with their instructions by visitors.

In the event of violations of the instructions of authorized persons, the person concerned must be expelled from the venue and, in the event of repeated violations of the house rules, a general ban from the venue must be issued. Tickets or subscriptions will not be refunded.

Failure to comply with an official order to leave is punishable under Section 43 of the Vienna Events Act 2020.

If the tenant (organizer) issues its own house rules, these must in any case comply with the organizer’s house rules and must be agreed with the organizer before publication or submission to the authorities for approval. The organizer’s house rules shall in any case be contractually transferred to the tenant’s (organizer’s) contractual partners. Therefore, any instructions given by the organizer during the rental period (event) are legally binding for all those present on site and must be followed immediately. In particular, it must be ensured that the organizer passes on instructions received from the operator to its contractual partners (participants) without delay.
Regular cleaning of the event rooms takes place at least 2 hours before the start of the performance.

Before visitors are admitted, the prescribed emergency lighting and a sufficient part of the main lighting as well as the emergency power batteries for the additional lighting must be switched on. The lighting, including the emergency and additional lighting, may only be switched off once the spectators have left the building.
In the event of danger, it must be ensured that visitors are requested to leave the hall in a calm and orderly manner in good time. In addition, an evacuation signal should sound in the event of danger. The emergency services (fire department 122, police 133, ambulance 144) must be informed or alerted immediately.

In such a case, the landlord’s or organiser’s employees must open all exits and request visitors to leave the building as quietly, orderly and quickly as possible using all exits and, if necessary, ventilate corridors and staircases.

If the building is evacuated, no checkroom items will be returned at this time.

In case of doubt, the final decision on crisis-related measures such as evacuation, evacuation, demolition, etc. shall always be made by the Gesellschaft der Musikfreunde (landlord) within the framework of any official orders and the state of the art applied, which shall, if possible, reach agreement with the organizer. The responsible contact persons on the part of the lessor (Gesellschaft der Musikfreunde) are generally the management service and the head ticket inspector.

The organizer is free to set up an operations management or crisis team in coordination with the responsible authorities in general or depending on the situation, whereby the tenant (organizer) is involved accordingly. In such committees, the operator – apart from the representatives of the authorities – has the right to chair and make the final decision.

The above regulations also apply in the case of several events taking place simultaneously (rentals).
All participants must be familiar with the house rules.

Employees who are to interact with visitors must wear uniforms (e.g. the logo of the music association on their uniforms, or badges or armbands). They must behave courteously towards visitors, confront any grievances that may arise and act as mediators in the event of disputes.

Depending on the type of event, different category classifications are applied. This classification is influenced, for example, by whether a single soloist or a large orchestra is performing.

Since its foundation in 1812, the Gesellschaft der Musikfreunde in Wien has pursued the goal of “the advancement of music in all its branches”. In carrying out our diverse tasks, we at the Musikverein are committed to taking responsibility for the environment. We want to make our operations in the Musikverein building more sustainable and minimize our ecological footprint. Certification by the Austrian Ecolabel is an essential step in this direction.

The Musikverein is committed to harmonizing culture, nature and society within the scope of its possibilities.

As a cultural institution at the heart of society, we see it as our responsibility to actively contribute to social sustainability to enable a healthy and liveable future for all. We are committed to providing our employees with a nutritious and safe working environment characterized by respect, fairness, and equality and in which everyone can feel free from harassment and discrimination. We actively strive to respect and protect the rights of all people—both within our institution and our concert operations and in society.

We strive to contribute to conserving our planet’s resources. We have therefore taken important steps, such as

Renewable energies

We use 100% green electricity and thus contribute to the reduction of CO2 emissions.

Efficient lighting

The lighting systems in our event halls, backstage areas and offices are constantly being converted to energy-saving LED technology. Our exterior LED lighting automatically adjusts to daylight.

Optimization of heating and cooling systems

District heating, a heat pump, and heat recovery from the chiller cover our heating requirements. To minimize energy consumption further, we use modern, energy-efficient technologies and pay attention to regular inspections and maintenance.

Promotion of sustainable travel

On our website, we recommend that visitors travel by public transport. Our central location makes us easy to reach, and we also offer bicycle parking directly in front of the Musikverein building.

Ecological business trips

Our employees prefer to travel by train, and we avoid short-haul flights wherever possible.

Invite visitors

Sustainability affects us all. Our website raises our audience’s awareness of environmentally friendly behavior by providing information about traveling by public transport, staying in environmentally certified partner hotels, and separating waste in our buildings.

Employee training

Internal training courses and workshops promote employees’ awareness of ecological responsibility. We encourage them to use resources carefully and sparingly – water, packaging, office materials and energy.

Service providers and suppliers

Together with our business partners, we develop solutions to promote sustainability along the value chain.

Cooperation with environmentally certified partners

Our tenant in connection with the catering for our entire building has been awarded the Austrian Ecolabel. Our print shop and the hotels with which we work closely are also certified with the Austrian Ecolabel and share our high sustainability standards.

Avoiding waste

As a concert venue, we do not generate any significant waste. However, we are aware that we still consume resources. For example, e-tickets reduce paper consumption, and we sensitize our employees to prefer tap water to water from (reusable) containers.

Waste separation and recycling

We have a comprehensive waste separation system throughout the building. Our employees are trained to behave in an environmentally friendly manner and to dispose of waste separately so that it can be recycled well by the respective waste treatment facilities.

Reduction of disposable products

Sustainable alternatives, such as reusable tableware and containers, are used at our events. Reusable tableware is available to employees.

Regional suppliers

We work with regional partners to shorten transportation routes and promote the local economy where possible.

Environmentally friendly materials

When making purchases, we focus on sustainable materials and select environmentally friendly products. We prefer to buy products certified with the Austrian, German, or European Ecolabel. This applies to products for everyday office use, such as copy paper, and for cleaning. Our IT devices are energy-efficient and durable models to reduce our energy consumption.

We are delighted to announce that we have now officially been awarded the Austrian Ecolabel after successfully obtaining certification. We inform our employees, concert visitors and partner companies about this award and would like to invite our environment to behave in an environmentally friendly manner. Our commitment to sustainability is an ongoing process. We will continue to scrutinize structures and processes, analyse potential for improvement and take measures to improve our environmental footprint. In the long term, we aim to make our operations as climate-neutral as possible. We are therefore constantly looking for new ways to promote sustainability in all areas of our business. We look forward to receiving feedback at office@musikverein.at on how we can make our business even greener.
